Every time i click "sync ringtone" a box comes up saying songs, movies etc will be removed from iphone. so is this normal or do i have to play around with my sync setting?

Try this:
Check manually manage music in the summary tab. In the ringtone tab uncheck ringtones so they don't sync. Then, to add ringtones to iphone, just drag and drop them from iTunes library to iPhone.
